Every productivity system eventually dies the same death: not from a bad tool, but from a clogged inbox of half-decisions. The fix is not a new app. It is a standing appointment with yourself — two hours, every Friday, non-negotiable.
The four sweeps
We run the reset in four sweeps, in this order, always. Inbox to zero — every note, link and voice memo becomes a task, a calendar entry, or gets deleted. Money — send the invoices, log the expenses, move the tax set-aside. Next week — three outcomes, not thirty tasks; if everything is a priority, nothing is. The shutdown — write the first action for Monday morning, then close the laptop like you mean it.
Why Friday and not Monday
Monday planning means spending Sunday night rehearsing work. Friday closure means Monday starts with a runway already cleared. The whole ritual lives inside the weekly review view of our Notion Business HQ template, but a paper notebook works just as well — the tool is 10% of it.
Do it for four weeks and the effect compounds: fewer open loops, calmer weekends, and a business that feels small in the good way.
